This policy applies to the application fee paid online through the Bishop Cotton Boys' School admissions portal ("the Portal").
1. General Principle
The application fee is non-refundable. It is not refunded if an application is withdrawn, is incomplete, is not selected, is rejected or waitlisted, or if the child does not join the School. The only exceptions are set out in section 2.
2. When a Refund Is Made
- Duplicate payment: if the application fee for the same application was paid more than once by mistake, the extra payment is refunded.
- Payment gateway error: if your bank account was debited but the payment was not recorded against your application (the Portal still shows payment pending and no receipt was issued), the amount is normally reversed automatically by PayU to your source account within 5–7 working days. If the reversal does not appear within 7 working days, contact us as described below. Please do not pay again until the status is confirmed — it can take up to 48 hours to update.
3. How to Request a Refund
- Email support@bishopcottonschool.org with the subject line "Refund Request — [Application Number]".
- Include the child's name, the application number, the amount and date of each payment, and the payment reference shown in your email receipt or bank statement.
- Attach a screenshot of the payment confirmation from your bank if no receipt was issued.
We will acknowledge your request within 2 working days and aim to resolve it within 15 working days.
4. Refund Method
Payment gateway reversals are made by PayU to the original payment method. Approved refunds of duplicate payments are issued by cheque in the name of the parent or guardian on record, regardless of the original payment method; the cheque may be collected from the School Accounts Department.
